Role description:

\n


\n

Arcadis is seeking a Project Document Control Administrator II to join our semiconductor sector. This role supports project delivery by coordinating document control activities, assembling and formatting client deliverables, monitoring package review workflows, and providing administrative support to design teams, project managers, and other senior staff.

\n


\n

The Project Document Control Administrator II plays an important role in supporting client review and approval processes by ensuring documentation is accurate, compliant, properly tracked, and delivered in accordance with project requirements. This position also supports training, process documentation, and continuous improvement initiatives to promote efficient and consistent project execution.

\n

Role accountabilities:

\n

    \n
  • Coordinate architectural and engineering (A/E) design packages with Project Managers to review deliverable composition, deadlines, and client requirements.
  • \n

  • Communicate with Project Managers, Project Engineers, and discipline teams to obtain package updates, verify deliverable components, and support timely package completion.
  • \n

  • Assemble, prepare, proof, edit, format, and brand A/E reports, presentations, spreadsheets, and deliverable packages in accordance with client, company, and industry standards.
  • \n

  • Build, maintain, and proof deliverable lists, drawing lists, and package logs, and reconcile discrepancies to ensure accuracy and completeness.
  • \n

  • Generate and maintain package reports to support Client Sign-Off Sheet preparation, tracking, and closeout activities.
  • \n

  • Perform daily review, maintenance, and management of issues within package review workflows to support timely resolution and compliance with project requirements.
  • \n

  • Monitor package review statuses and coordinate with project stakeholders to follow up on outstanding issues, comments, approvals, and overdue actions.
  • \n

  • Perform quality checks on project documentation to ensure compliance with client, company, and project-specific standards.
  • \n

  • Maintain project naming conventions, folder structures, and filing standards within project management and document management systems.
  • \n

  • Upload packages to file transfer and project systems and communicate with clients and project teams to confirm successful transmission and receipt.
  • \n

  • Utilize conferencing technology and Microsoft Teams to review, edit, and coordinate electronic documents, presentations, and package reviews.
  • \n

  • Compile meeting minutes from recorded transcripts, as required, and distribute action items to support project coordination.
  • \n

  • Facilitate and host live and recorded training sessions for internal teams and clients on project-specific tools, workflows, and processes.
  • \n

  • Assist in creating and maintaining training materials, user guides, and process documentation.
  • \n

  • Support continuous improvement of document control and package review processes.
  • \n

  • Identify risks, escalate overdue items or unresolved issues as appropriate, and support timely follow-up with project stakeholders.
  • \n

  • Other duties as assigned.

Qualifications & Experience:

\n

    \n
  • Bachelor’s degree; or two to four years of related construction, engineering, architecture, project administration, or document control experience; or an equivalent combination of education and experience.
  • \n

  • Experience supporting document control, project administration, package coordination, or client deliverable workflows in a fast-paced project environment.
  • \n

  • Proficient in Microsoft 365 Suite, including Word, Excel, Outlook, Teams, SharePoint, and PowerPoint; experience with Copilot is a plus.
  • \n

  • Experience with Procore, SharePoint, Bluebeam, and Autodesk tools such as Autodesk Construction Cloud (ACC) and Autodesk Forma/Reviews preferred.
  • \n

  • Experience supporting client review and approval workflows, including tracking comments, issues, and sign-off status, preferred.
  • \n

  • Strong written and verbal communication skills, with the ability to present information clearly to individuals and groups.
  • \n

  • Ability to facilitate virtual and recorded training sessions and create clear, user-friendly process documentation and training materials.
  • \n

  • Strong attention to detail and commitment to data accuracy, quality, and compliance with established standards.
  • \n

  • Strong organizational, time management, and problem-solving skills, with the ability to manage multiple priorities and deadlines.
  • \n

  • Demonstrated initiative, accountability, and ability to work effectively with minimal supervision.
  • \n

  • Comfortable collaborating with diverse teams, stakeholders, and clients in a deadline-driven environment.
  • \n

  • Ability to provide legal US work authorization documents required. Will consider US domestic travelers and relocation.
  • \n
