Job Summary

Gaston & Wyatt is seeking a detail-oriented and motivated Estimating Coordinator to join our dynamic estimating team. This is an excellent opportunity for a career-minded individual to play a key role in the early stages of producing some of the most finely crafted architectural millwork in the country. The ideal candidate will be based at our Charlottesville, Virginia facility, with flexibility for partial remote work; however, we are open to considering fully remote arrangements for exceptional applicants outside the area. This role offers not only immediate engagement in a high-caliber team environment, but also a clear pathway for growth—whether advancing into a Junior Estimator position or exploring other long-term roles within our company. This position has a starting wage from $19.00 to $25.00 per hour.

Essential Duties & Responsibilities

As an Estimating Coordinator at Gaston & Wyatt, you’ll play a key support role in the success of our estimating and project teams. Your responsibilities will include:

  • Project Review, Coordination, and Set Up

    • Review incoming proposal request documents (RFPs, plans, specifications) promptly and thoroughly
    • Prepare and maintain estimating schedules to align with client deadlines and internal workloads
    • Prepare Innergy estimating software with appropriate job information and set estimating team up for success
  • Project Support & Documentation

    • Track all proposal submissions and maintain accurate records of estimate status and follow-ups
    • Assist project management teams in defining project phases, tasks, and values—ensuring clear, well-structured scopes for work orders
  • Client & Vendor Relationships

    • Support and strengthen relationships with customers, installers, other specialty subcontractors, and suppliers, acting as a point of contact during the estimating phase
    • Collaborate with the Sales team during contract negotiations by supporting scope clarification and value engineering discussions
  • Cross-Functional Collaboration & Continuous Improvement

    • Participate in project handoffs and post-project reviews to ensure feedback loops between estimating and execution
    • ​​​​​​​​​​​​​​Take ownership of special assignments that contribute to process improvement and operational excellence
    • Perform other tasks and initiatives as assigned that support the overall goals of the Estimating and Sales departments.

Qualifications – Education & Experience

We’re looking for a candidate who brings a strong mix of technical knowledge, attention to detail, and professional communication skills. The ideal Estimating Coordinator will possess:

  • Education:

    • Associate’s or Bachelor’s degree preferred, particularly in a field related to construction, architecture, engineering, or business.

  • Industry Experience:

    • Previous experience in a similar professional setting—such as an architectural firm, general contractor, wood products manufacturer, or millwork shop—is highly valued.
    • ​​​​​​​Exposure to estimating, construction materials, or building methods is a significant plus.
  • Technical Skills:

    • Familiarity with estimating platforms such as Innergy (or similar software) is a strong advantage
    • Proficiency in Microsoft Office Suite—particularly Excel, Word, and Outlook—is essential
    • Comfortable working with digital tools and technology in a fast-paced, detail-driven environment
  • Bonus Experience (Not Required but Great to Have):

    • Exposure to engineering, drafting, or production-related disciplines

  • Core Competencies:

    • Exceptional math, analytical, and organizational skills
    • Highly detail-oriented with the ability to interpret complex architectural plans and manage multiple streams of information
    • Excellent written, verbal, and interpersonal communication skills—able to engage effectively across departments, as well as with clients and vendors
    • A self-starter with a proactive mindset and strong follow-through on tasks and responsibilities
    • A collaborative team player with a genuine desire to grow within the company and contribute to a positive, productive work environment
    • Capable of balancing and prioritizing multiple responsibilities without compromising precision or deadlines

Physical & Work Environment Requirements

  • Work will primarily be performed in a climate-controlled office setting using a computer for extended periods (keyboard/mouse use required).

  • Periodic visits to our manufacturing shop floor will be expected; this area is non-climate-controlled, and basic physical tasks may be required.

  • Must be able to lift, push, or pull up to 40 lbs. occasionally as part of duties related to shop floor interaction or project support.

  • Standard work schedule is 40 hours per week, with occasional overtime as project timelines require.
