Identity Media Group is a media, content, education, and events company built for the eyecare industry. Through iDSocial and a growing portfolio of programs, we work with pharmaceutical and medical device companies, physicians, practices, and industry organizations to produce live events, educational programs, video content, and media initiatives.

We are a small, fast-moving team that works with some of the largest companies and most recognized physicians in ophthalmology and optometry. Our projects range from intimate physician dinners and advisory boards to national meeting activations, receptions, educational programs, video productions, and year-round client campaigns.

We are looking for someone who can take ownership of those projects and make sure every detail gets done right.

About the role

\n


\n

We are hiring a Senior Project Manager to lead the execution of multiple client programs at once.

\n


\n

This is not a role for someone who wants to maintain a project tracker or assist an event producer. We need someone who has personally run events, managed vendors, communicated directly with clients, handled budgets, solved problems on site, and kept complex projects moving without constant oversight.

\n

You will own projects once they move into execution, working closely with our leadership team, clients, physician partners, vendors, and internal staff.

What you'll own

\n


\n

    \n
  • Lead the execution of live events including physician dinners, receptions, advisory boards, educational meetings, sponsored programs, and conference activations
  • \n

  • Build and manage project timelines, production schedules, run-of-show documents, budgets, and deliverable trackers
  • \n

  • Serve as the day-to-day point of contact for clients throughout project execution
  • \n

  • Keep clients, vendors, physicians, and internal team members accountable to deadlines
  • \n

  • Source and manage venues, catering, AV, decor, production, transportation, printing, gifting, and other event vendors
  • \n

  • Review proposals, manage contracts, track expenses, reconcile invoices, and keep programs within approved budgets
  • \n

  • Coordinate physician faculty, speakers, and attendees, including invitations, RSVPs, travel logistics, agreements, and honoraria documentation
  • \n

  • Manage event registration and attendee communications where applicable
  • \n

  • Travel to programs and own on-site execution, including setup, vendor coordination, staffing, troubleshooting, and breakdown
  • \n

  • Anticipate issues before they become problems and escalate early when leadership or client input is needed
  • \n

  • Run internal and client-facing status calls and communicate next steps clearly
  • \n

  • Coordinate timelines for related video, social media, creative, and content deliverables
  • \n

  • Maintain clean, accurate, organized project documentation
  • \n

  • Lead post-event reconciliation, reporting, and follow-up
  • \n

Who we're looking for

\n

You are exceptionally organized, but organization alone isn't enough. You understand how the moving pieces of a project connect and you think several steps ahead.

\n


\n

You communicate well with executives, clients, physicians, vendors, and teammates. You are comfortable making decisions, following up repeatedly when something needs to get done, and taking responsibility for the final result.

\n


\n

You notice when something is wrong before a client notices it.

\n


\n

Required

\n


\n

    \n
  • 2 years of project management, event production, experiential marketing, agency, or related experience
  • \n

  • Direct responsibility for producing live events, not supporting another event lead
  • \n

  • Experience managing multiple client projects at the same time
  • \n

  • Experience working directly with clients
  • \n

  • Strong vendor management and negotiation skills
  • \n

  • Experience managing event or project budgets
  • \n

  • Excellent written and verbal communication
  • \n

  • Strong attention to detail and follow-through
  • \n

  • Ability to work independently in a remote environment
  • \n

  • Willingness to travel regularly for events and industry meetings
  • \n

  • Based in the United States
  • \n

Strongly preferred

\n


\n

    \n
  • Healthcare, pharmaceutical, medical device, medical education, or healthcare agency experience
  • \n

  • Experience working with physicians or other healthcare professionals
  • \n

  • Experience with national conferences and congress-related events
  • \n

  • Familiarity with physician agreements, honoraria, Sunshine Act reporting, or healthcare compliance processes
  • \n

  • Experience coordinating video shoots or content production
  • \n

\n

Projects are organized. Clients know exactly where things stand. Vendors have what they need. Deadlines aren't missed because someone forgot to follow up. Budgets are accurate. Events run smoothly. Problems get caught early instead of becoming emergencies.

\n

Most importantly, once you own a project, the leadership team has confidence that it is moving forward without having to manage every detail themselves.
