Construction Project Coordinator – Franklin, TN

We are seeking a highly organized and proactive Construction Project Coordinator to join a growing Healthcare General Contractor in the Nashville market. This individual will work closely with Project Managers and project teams to help keep projects organized, compliant, and moving forward from startup through closeout.

\n
The ideal candidate has prior construction experience and understands how a commercial construction project operates. This person will serve as a key resource to the Project Managers, taking ownership of project coordination responsibilities that allow the PMs to stay focused on overall project execution.

Responsibilities

- Work directly with Project Managers to support the day-to-day coordination and administration of active construction projects
- Take ownership of project-related tasks and documentation to help alleviate administrative workload from Project Managers
- Assist with project setup, tracking, documentation, and closeout
- Coordinate and maintain project compliance documentation and ensure required information remains current throughout the project
- Support the project billing process, including preparing and submitting billing documentation to owners
- Assist with tracking project costs, billing information, and other project-related financial documentation
- Maintain organized and accurate project files, contracts, correspondence, and records
- Assist with subcontractor and vendor documentation, including contracts, insurance, compliance requirements, and related paperwork
- Support the tracking and coordination of submittals, RFIs, change documentation, and other project correspondence
- Assist Project Managers with meeting coordination, documentation, reporting, and follow-up items
- Communicate with subcontractors, vendors, clients, and internal project teams to gather information and keep documentation moving
- Coordinate and manage project closeout documentation, including collecting required documents from subcontractors and vendors and preparing closeout packages
- Help ensure project documentation and administrative requirements are completed accurately and on schedule
- Take ownership of additional project coordination responsibilities based on project needs and experience

Qualifications
\n
- \n
- 3–5 years of experience in a Project Coordinator, Project Administrator, or similar construction-related role preferred
- Previous experience with a general contractor, construction manager, subcontractor, or commercial construction company strongly preferred
- Understanding of commercial construction project processes and terminology
- Experience supporting Project Managers and multiple active projects simultaneously
- Familiarity with project billing, compliance documentation, subcontractor documentation, and project closeout
- Experience with RFIs, submittals, contracts, change documentation, and other construction project documentation preferred
- Strong organizational skills and exceptional attention to detail
- Ability to independently manage responsibilities, deadlines, and follow-up items
- Strong written and verbal communication skills
- Comfortable communicating with Project Managers, Superintendents, subcontractors, vendors, clients, and leadership
- Proactive and willing to identify what needs to be done rather than waiting to be directed
- Collaborative, personable, and team-oriented with a strong emphasis on contributing positively to company culture
- Proficiency with Microsoft Office, including Excel, Word, and Outlook
- Experience with construction management or accounting software is a plus
