JOB SUMMARY
The Assistant IT Manager supports the daily operation, security, and maintenance of NNR USA's technology environment. This role oversees IT service delivery, user onboarding and offboarding, endpoint and asset management, infrastructure support, cybersecurity administration, physical security systems, vendor coordination, and technology procurement. The position helps ensure reliable, secure and efficient IT operations across all locations while supporting technology initiatives, business continuity and operational improvements.
Duties & Functions
User Lifecycle Management
• Manage employee onboarding, transfers, and offboarding processes.
• Create, modify, and disable user accounts across Microsoft 365, Entra ID, business applications, and related systems.
• Provision computers, mobile devices, software licenses, badges, and equipment.
• Maintain role-based access controls and ensure timely removal of access during employee separation. Coordinate with Human Resources and department managers regarding user access requirements.
IT Service Delivery & End User Support
• Serve as an escalation point for desktop, mobile, application, and infrastructure support issues.
• Monitor ticket queues and ensure timely resolution of service requests and incidents.
• Assist users with hardware, software, network, printing, telecommunications, and system access issues.
• Develop and maintain support procedures, knowledge articles, and user documentation.
• Track support trends and recommend process improvements.
Infrastructure & Network Administration
• Assist in the administration and maintenance of network infrastructure, wireless systems, internet connectivity, servers, cloud resources, and telecommunications services.
• Monitor infrastructure health, backups, system availability, and operational performance.
• Coordinate vendor support activities related to networking, telecommunications, cloud services, and hardware maintenance.
• Support branch office technology deployments, upgrades, and relocations.
• Maintain infrastructure documentation, diagrams, and inventory records.
Cybersecurity Administration
• Support security operations by monitoring alerts, reviewing security incidents, and coordinating remediation activities. Administer endpoint protection, email security, MFA, access controls, and vulnerability management processes.
• Assist with security awareness initiatives and policy compliance activities.
• Participate in cybersecurity investigations, incident response, and audit preparation activities.
• Maintain security documentation and evidence required for compliance and audit purposes.
Physical Security & Facility Technology
• Administer access control systems, security cameras, visitor management systems, and related physical security technologies.
• Coordinate badge access, access reviews, security permissions, and termination-related access removal. Work with branch management and facilities personnel on office security requirements.
• Assist with monitoring and maintenance of surveillance and physical security systems.
Asset Management & Procurement
• Manage IT asset inventory including computers, mobile devices, networking equipment, licenses, and peripherals.
• Coordinate procurement of hardware, software, services, and telecommunications resources.
• Obtain vendor quotations and assist with purchasing approvals.
• Track renewals, warranties, maintenance agreements, subscriptions, and technology lifecycle planning. Support budgeting activities by maintaining accurate purchasing and asset records.
Vendor Management
• Coordinate support requests and issue escalations with vendors, service providers, carriers, and managed services partners.
• Track vendor performance, open issues, service requests, and contract deliverables.
• Assist with technology evaluations, renewals, and implementation activities.
• Maintain documentation related to vendor agreements and support contacts.
IT Projects & Documentation
• Assist with infrastructure, cybersecurity, telecommunications, and branch technology projects.
• Coordinate implementation activities, testing, deployment schedules, and project documentation.
• Maintain technical standards, operating procedures, diagrams, and knowledgebase materials.
• Support disaster recovery, business continuity, and operational readiness initiatives.
• Participate in testing and validation of technology changes before production deployment.
Qualification Standards
Education & Experience:
• Minimum Associate's Degree in Information Technology, Computer Science, Business Technology, or related field; equivalent experience may be considered.
• 3-5 years of expertise supporting enterprise IT operations, infrastructure, networking, cybersecurity, or systems administration.
• Knowledge of employee onboarding/offboarding processes and identity management.
• Well-versed in Microsoft 365, Entra ID, Windows environments, and endpoint management.
• Experience working with vendors, service providers, telecommunications carriers, and technology procurement processes. Proficiency maintaining IT assets, licenses, and inventory records.
• Prior logistics, transportation, or freight forwarding industry experience preferred.
• Ability to work independently and establish ownership while driving resolutions to projects.
• Strong critical thinking, as well as organizational, multitasking, prioritization, and interpersonal communication skills.
Physical requirements:
• Availability to respond to after-hours communications with subsidiaries in their time zones either for training or support may be necessary.
• Medium work - Exerting up to 50 pounds of force occasionally, frequently and/or constantly to lift, carry, push, pull or otherwise move objects.
