Associate Director of Project Coordination
$70,000 - $80,000 per year

We are seeking a highly organized, strategic, and proactive Associate Director of Project Coordination to lead our project coordination teams. In this critical leadership role, you will oversee the full lifecycle of our property restoration and mitigation projects. You will ensure seamless communication between Project Managers, field technicians, insurance adjusters, and third-party administrators (TPAs).

What you'll do:
Team Leadership and Development

  • Lead and coach Project Coordinators.
  • Set clear performance goals and KPIs.
  • Conduct performance reviews, coaching, hiring and onboarding for Project Coordinators
  • Build and maintain strong working relationships with internal teams, clients, vendors, and insurance partners
  • Manage on-call schedules and after-hours support.
  • Oversee scheduling coordination across teams, subcontractors, equipment, and materials at a portfolio level

Process and Portfolio Oversight

  • Enforce project workflows and company systems.
  • Audit project documentation practices to ensure files remain accurate, complete, real-time, and audit-ready across the portfolio
  • Monitor project progress and fix bottlenecks.
  • Review cost tracking and regulatory rules.
  • Identify inefficiencies and lead continuous process improvement initiatives.

Problem Solving and Relations

  • Handle complex scheduling and insurance issues.
  • Build ties with clients, vendors, and internal teams.
  • Report team performance, trends, and risks to the Director of Coordination on a regular cadence
  • Ensure team-wide compliance with regulatory, and insurance-related requirements
  • Establish and enforce escalation protocols for delays, discrepancies, or customer concerns

What You Bring

  • Proven experience leading, coaching, and developing a team of coordinators or similar operational staff
  • A strong track record of building, enforcing, and improving structured processes and systems
  • High attention to detail and an unwavering commitment to accuracy across a full portfolio of projects
  • Ability to manage competing priorities across multiple teams while keeping everyone organized and on track
  • Excellent communication, coordination, and relationship-management skills across multiple stakeholders
  • 5+ years of experience in project coordination, operations, or administrative leadership, including 2+ years in a supervisory or team-lead role
  • Comfort operating in a fast-paced, high-accountability environment
  • Experience in restoration, construction, or similar industries strongly preferred
  • Experience developing or refining SOPs and process documentation is a plus
