Senior Program Coordinator– Luxury Hospitality Development & Operations

Location: New York, NY
Travel: Regular domestic and international travel, including Texas, Turks & Caicos, and other project locations
Employment Type: Full-Time
Compensation: Approximately $130,000 annually + benefits


Help Build the Next Chapter of a Luxury Hospitality Brand

Gallant Business Solutions is recruiting an exceptional Senior Program Coordinator to help lead a portfolio of high-impact luxury hospitality and development initiatives across North America and the Caribbean.


This role is for someone who knows how to bring structure to complex projects.

You will work closely with executive leadership and the leaders of individual workstreams to create visibility across major initiatives, connect dependencies, identify risks, maintain accountability, and keep projects moving toward successful delivery.


Current initiatives include the integration of a newly acquired luxury hotel in San Antonio, the pre-opening of a luxury resort in Turks & Caicos, and additional hospitality and development projects as the organization continues to grow.


You won't need to be the expert who owns every individual workstream. Your job is to see across all of them and make sure leadership and workstream owners understand where things stand, what is connected, what is at risk, and what needs to happen next.


What You'll Do:

You will lead program coordination across multiple complex and interconnected initiatives, including:

  • Build and maintain integrated master project plans, schedules, milestones, dependencies, and critical paths.
  • Coordinate multiple workstreams across Operations, Finance, HR, Construction, Design, Procurement, Food & Beverage, Sales & Marketing, IT, Legal, consultants, contractors, and external partners.
  • Maintain visibility across simultaneous projects and identify where delays or decisions in one workstream could impact another.
  • Create concise executive dashboards and weekly reporting covering project health, milestones, risks, dependencies, budget considerations, and decisions required.
  • Maintain RAID logs, risk registers, action logs, decision trackers, and other project governance tools.
  • Identify risks early, develop mitigation strategies, and escalate issues appropriately.
  • Establish accountability across workstream owners without relying on direct reporting authority.
  • Coordinate vendors, contractors, consultants, ownership representatives, and other external stakeholders.
  • Help introduce practical project management processes and tools that improve visibility and accountability without creating unnecessary bureaucracy.
  • Support initiatives from acquisition and planning through development, operational readiness, launch, and closeout.

Required Qualifications:

We're looking for candidates who can demonstrate the scale, complexity, and formal project management discipline required for this environment.

  • 7+ years of progressive project or program management experience.
  • Demonstrated experience leading or managing projects/programs valued at $50M+.
  • Experience managing multiple significant, interconnected projects or workstreams simultaneously.
  • Proven ownership of complex initiatives from planning through execution and closeout.
  • Advanced knowledge of project planning, integrated scheduling, critical-path management, dependencies, risk management, scope management, and project governance.
  • Hands-on proficiency with formal project management tools such as Microsoft Project, Smartsheet, Asana, Monday.com, Primavera, Procore, Jira, or comparable platforms.
  • Experience personally building and maintaining project schedules, dashboards, risk/issue tracking, and executive reporting.
  • Strong executive communication skills with the ability to translate complex project information into concise, decision-ready updates.
  • Demonstrated ability to coordinate cross-functional teams and influence stakeholders without direct authority.
  • Experience managing budgets, vendors, contracts, forecasts, and project risks.
  • Ability to operate independently, make informed decisions, and proactively remove roadblocks.
  • Willingness and ability to travel domestically and internationally.

Preferred Qualifications:

Direct hospitality experience is highly valued, but we are also interested in exceptional Program Managers from similarly complex, capital-intensive environments.


Preferred backgrounds include:

  • Luxury hospitality development or operations
  • Hotel openings, renovations, acquisitions, or integrations
  • Capital projects or construction
  • Commercial real estate development
  • Owner's representative experience
  • Multi-site retail development
  • Large campus or facilities programs
  • Healthcare facilities or infrastructure
  • Operational readiness and complex launches
  • Hospitality technology platforms such as Opera, Mews, or Maestro
  • PMP, PRINCE2, PMI-ACP, or comparable certification
