Job Description
Job Description
Position Summary
The Estimating Project Manager - Technical is responsible for converting architectural drawings, specifications, elevations, room information, and other RFQ documents into a complete and accurate technical scope that allows GFI to properly cost and quote a project.
The Technical PM owns the technical analysis of the RFQ, development of the estimating matrix, technical takeoff, identification of specified window-treatment requirements, and preparation of the initial GFI quotation letter. The position works closely with the Estimating Project Manager - Administrator and Estimating Project Manager - Costing to ensure technical information is complete, clearly communicated, and accurately carried through to the final quotation.
1. Technical Review
Review architectural floor plans, elevations, designer specifications, room schedules, room types, window-treatment specifications, and other relevant RFQ documents.
Understand and document the complete window-treatment scope GFI is being asked to provide.
Identify conflicting, unclear, incomplete, or missing technical information.
Review revised drawings and specifications and determined their impact on the technical scope.
Remain responsible for the accuracy of technical information developed during the estimating process.
2. Estimating Matrix Development
Create the project estimating matrix and organize it by individual room number and applicable room type.
Identify the room type associated with each room number when room types are provided.
Identify the number and configuration of window openings associated with each room.
Identify the applicable window treatment for each opening, including treatment type, construction/style, and whether the treatment is manual or motorized.
Incorporate the necessary window dimensions and technical information required for accurate costing.
When reliable room types are provided, perform the detailed takeoff and scaling by applicable room type rather than unnecessarily scaling every individual room, while still completing the matrix by room number.
When room types are not provided or cannot be reliably determined, analyze available documentation and identify additional information required to complete the matrix accurately.
3. Technical Takeoff and Scaling
Review and scale architectural drawings as required to establish window-opening dimensions.
Perform takeoffs accurately and consistently and use established room types when appropriate to improve efficiency.
Ensure quantities and technical requirements derived from drawings are accurately reflected in the estimating matrix.
Identify conditions requiring clarification rather than making unsupported technical assumptions.
4. Window-Treatment Scope
Interpret and document the treatments specified for the project, including sheer and blackout draperies, drapery construction/style, roller shades, blackout and solar configurations, combination treatments, manual or motorized operation, and other specified requirements affecting GFI's scope.
Translate designer and architect information into a technical scope that can be clearly understood and accurately costed by GFI.
5. Technical Clarifications and Follow-Up
Identify and resolve technical information that is missing, conflicting, unclear, or insufficient, including issues involving drawings, elevations, specifications, dimensions, quantities, schedules, or treatment requirements.
When technical clarification is required, the Estimating Project Manager - Technical normally communicates directly with the appropriate designer, architect, customer, contractor, or other responsible project contact and owns the request through resolution. When the issue could materially affect scope or pricing, coordinate as needed with the Estimating Project Manager - Administrator and Estimating Project Manager - Costing before customer communication.
Determine whether the information received is technically sufficient and define any technical assumptions or qualifications necessary for GFI to proceed responsibly.
Keep the Estimating Project Manager - Administrator informed of significant technical issues, risks, or delays that could affect the RFQ due date or readiness for costing.
6. External Technical Communication
Take ownership of technical communication used to establish GFI's scope and basis of quotation.
The Estimating Project Manager - Administrator must be copied on all external RFQ-related Technical correspondence. The Sales Advisor must also be copied on customer-side technical communications.
Do not rely solely on internal interpretation or direction from Sales, Project Management, or another GFI technical resource when customer confirmation is required. Obtain written confirmation from the customer or other authorized project source when the direction affects the basis of the quotation.
7. Initial GFI Quotation
Once the technical matrix and scope are sufficiently developed, create the initial GFI quotation letter.
Ensure the quotation accurately communicates the technical scope GFI intends to provide and contains the information necessary for Costing to properly cost and finalize the quotation.
Use the completed technical matrix and quotation as the foundation for the costing process.
8. Ready-for-Costing Handoff
Determine when the technical portion of the RFQ is sufficiently complete to proceed to costing.
Update the Quote Log to READY FOR COSTING and communicate to the Estimating team that the RFQ is ready to move into the costing phase.
Own the handoff to Costing by explaining the project scope, matrix, specifications, important conditions, assumptions, and unresolved issues.
Remain accountable for technical accuracy after the project transitions to Costing.
9. Collaboration With Costing
Remain available to answer technical questions and resolve technical discrepancies identified during costing.
Review technical changes affecting scope and communicate newly discovered project information immediately.
Validate technical corrections when necessary and prevent unsupported technical assumptions from being carried into the final quotation.
Work with Costing as a team while retaining ownership of technical accuracy.
10. Master Project Folder Responsibility
Maintain accurate and current technical documents and work products within the Master Project Folder.
Properly file matrices, drawings, specifications, revisions, and related technical information created, received, or revised during Technical's work.
Update revised information and archive superseded information so all GFI personnel can rely on the active project record.
Work within the Administrator's overall administrative control of the Master Project Folder during the RFQ stage.
