Position Summary


Under general supervision, this position is responsible for providing technical expertise, training, and performance monitoring to the Data Management Department. The Data Management Department is responsible for the efficient collection and distribution of patient information from the primary source(s) to the appropriate Brault system application(s) and/or personnel. Patient Information is received by Brault electronically and on paper. The receipt and distribution of electronic data is referred to as Health Information Exchange (“HIE”).

Essential Duties and Responsibilities

  • Monitors performance and productivity against established benchmarks; takes action to address and/ or resolve problems, including attendance and addresses issues such as absenteeism.
  • Monitors the Patient Account Tracking (PAT) system to ensure activities are initiated to immediately resolve all missing, corrupt, or incomplete data capture.
  • Monitors PAT to ensure 98% capture rate during the current month end processing cycle
  • Represents Data Management at the Standing Month end close meetings, providing a review of PAT to update client mangers on account status
  • Provides advanced troubleshooting analysis and support of Data Management tickets relating to HDC, Census Log, Chart data, and overall data flow by utilizing additional access to detailed processing folders, Move-It Central Admin task viewer, and any other database level training obtained; escalate analyzed results to appropriate programming and IT support personnel.
  • Develops and recommends contingency plans for immediately resolving any/all data capture disruptions or service failures.
  • Represents Data Management issues on the Daily IT calls
  • Ensures timely completion, updates, and distribution of Shortage Lists.
  • Ensures daily cart runs from Data Management to Insurance Coding/Data Entry are done timely, and that all work is logged and reconciled, according to guidelines.
  • Recommends changes to policies and procedures for HIE processing.
  • Assists with recruiting and recommends personnel to fill positions in the department.
  • Orients and trains new staff in accordance with existing procedures and the uses of hardware, software, technology, workflow, and processes.
  • Ensures staff is cross-trained to provide backup coverage.
  • Schedules staff to perform work of the business unit and to meet the company objectives. Work hours will be planned based on operational needs.
  • Provides regular reports of staff activity and progress made toward achieving goals/objectives.
  • Responds appropriately to request for information or assistance, and directs the requestor to the appropriate department personnel.
  • Processes timecards in electronic time-keeping system to include timely processing of PTO requests.
  • Assists with the completion of annual performance evaluations within prescribed time period.
  • Demonstrates leadership through cooperative interactions such as problem-solving, excellent written/verbal communication and customer focus.
  • Consistently communicates with individuals with respect, kindness, and understanding; is honest and clear; treats sensitive information confidentially; is perceived as positive and demonstrates quality client services. Behaves in a friendly, professional manner.

Knowledge, Skills, & Abilities


  • Excellent organizational skills as demonstrated by meeting established priority timelines, and detail oriented. Ability to prioritize work and maintain confidentiality.
  • Able to work under pressure with frequent interruptions while maintaining and coordinating all aspects of the position.
  • The ability to plan complex clerical activities, to monitor productivity and train others, to communicate effectively with staff is required.
  • Actively contribute to the teamwork of the staff; presentation of a positive attitude and role model.
  • Must have excellent computer skills including, but not limited to, Crystal Reports,
  • Is invested in personal and professional development. Learns “on the fly”

Education & Experience Requirements


  • High School graduated with some college
  • 2-3 year experience in a Data management and/or Analyst role
  • 2 years Office experience, preferably working in a Healthcare related setting with some background as a team lead
  • Experience with dictation systems, MS Office Suite, electronic medical record systems, preferred.

Supervisory Responsibilities


Coordinates the work for HIE Specialists.
