About the University of Hawai’i Foundation:

The University of Hawaiʻi Foundation was established in 1955 to encourage private support for the University of Hawaiʻi. Today it is the central fundraising organization for the UH System and is contracted by the Board of Regents to be the sole provider of fundraising and alumni services. In addition to fundraising, the Foundation manages more than 7,000 gift accounts for the benefit of the university and its students.

The UH Foundation is a private, institutionally related corporation designated as a 501(c)(3) organization by the Internal Revenue Service. It is a legally separate entity from the University of Hawaiʻi, the UH Alumni Association, and all other UH affiliates. However, the UH Foundation works closely with these organizations, as well as with others in the community, exclusively for the benefit of the university.

Position Summary:

The Enterprise Applications Specialist provides functional support for University of Hawai‘i Foundation’s enterprise applications, reporting platforms, ETL platform, and related systems and technologies, including CRM, financial, and reporting systems.

The Specialist provides applications support for end users, and serves as a liaison between end users, business owners, and Advancement Services technical staff to help identify user needs, troubleshoot application issues, document business processes, support system training, and recommend practical system enhancements. This position works closely with the Advancement Analyst Manager and Systems Programmer/Analyst to improve application usability, streamline business processes, and ensure that enterprise systems effectively support UHF’s operational and reporting needs.

Reports to: Advancement Analyst Manager

Duties & Responsibilities:

  • Provide functional application support to end users of UHF’s enterprise applications, reporting platforms, ETL platform, and related systems, including Ellucian Advance, Blackbaud Fundraiser Performance Management, CentralSquare Finance Enterprise, SAP Concur, SAP Crystal Reports, IBM Cognos, Alteryx, and related enterprise systems.
  • Serve as a first point of contact for application questions, user issues, troubleshooting, and basic system guidance.
  • Work closely with end users and business owners across internal departments to understand business processes, pain points, and system needs.
  • Document user issues, business requirements, process flows, enhancement requests, and recommended solutions.
  • Triage application issues and work with the Advancement Analyst Manager, Systems Programmer/Analyst, vendors, and other technical staff to resolve problems.
  • Assist with testing system fixes, enhancements, upgrades, reports, dashboards, workflows, and new functionality before implementation.
  • Understand user needs, translate them into clear requirements, and work collaboratively with technical staff to support solutions.
  • Make informed recommendations to the Advancement Analyst Manager and technical team regarding system enhancements, workflow improvements, training needs, and opportunities to improve user adoption.
  • Maintain knowledge of the functional areas of UHF’s enterprise applications and how they are used across the organization.
  • Assist with user setup, access coordination, and application-related onboarding/offboarding processes as appropriate.
  • Create, update, and maintain user documentation, quick reference guides, training materials, and internal support procedures.
  • Assist in developing and conducting application training for new hires and existing users.
  • Help identify recurring user issues and recommend improvements to reduce support needs and improve data quality.
  • Support reporting and business intelligence users by helping clarify report needs, gather requirements, and coordinate with report developers or technical staff.
  • Maintain effective working relationships with end users, business owners, vendors, and technical staff.
  • Serve as a backup to the Data Management Specialist by helping ensure regular and timely responses to constituent record updates and other data-related needs, and by overseeing part-time student staff responsible for enhancing records, tracing lost alumni, and keeping information updated in the CRM application.
  • Perform other duties and activities in support of the UHF mission as requested.


Job Qualifications:

  • Qualified candidates should have experience using business applications and the ability to understand business processes, user needs, and application support issues.
  • Ability to learn and support enterprise applications, reporting platforms, ETL tools, and related enterprise systems.
  • Computer proficiency required, including Microsoft Office and business/database applications.
  • Ability to communicate effectively, possess good organizational skills, document procedures clearly, and work collaboratively in a team environment.
  • Ability to professionally interact with all levels of the university and UHF community.
  • Strong attention to detail and commitment to accuracy, consistency, and quality.
  • Must be able to prioritize work, be proactive, take initiative, resolve problems, follow through, and manage multiple requests in a timely manner.
  • Strong customer service skills and ability to assist users with varying levels of technical experience.
  • Ability to identify recurring issues, ask clarifying questions, and recommend practical improvements to systems, workflows, and training materials.
  • Self-starter with ability to multi-task in a high-pressure, fast-paced environment.
  • Experience with CRM, financial, reporting, ETL, or other enterprise systems preferred.

Essential Functions:

  • Ability to sit at a desk and use a computer for extended periods of time.
  • Occasional standing, walking, bending, reaching, and lifting of light office items up to 25 lbs.
  • Ability to operate general office equipment such as computer, printer, photocopier, scanner, phone system, etc.
  • Hand-eye coordination and manual dexterity to use office equipment and handle paperwork.
  • Visual acuity to read printed and electronic documents and computer screens.
  • Ability to communicate verbally and in writing so others will understand.
  • Hearing and speaking abilities for in-person, phone, and video conversations.
