Job DescriptionWe are looking for a Facilities Coordinator 2 to support daily site operations and administrative activities. This long-term contract position combines facilities coordination, event support, and front-of-house assistance to help maintain an organized, responsive, and efficient workplace. The role works closely with vendors, clients, and internal teams to keep service requests, documentation, and on-site activities running smoothly.
Responsibilities:
• Coordinate vendor visits, service appointments, and site walkthroughs to support efficient facility operations.
• Maintain organized records for work orders, service activity, vendor communication, and operational documents.
• Prepare routine reports and status updates related to site performance, service delivery, and key metrics.
• Respond to day-to-day questions from employees, clients, and service providers in a timely and effective manner.
• Support site procedures, safety practices, and compliance efforts to promote a well-run work environment.
• Assist with meeting logistics, agendas, notes, and supporting materials for operational and event-related discussions.
• Provide backup coverage for reception and mailroom functions when needed to ensure continuity of service.
• Help coordinate event-related setup, relocation, reconfiguration, and reset activities while tracking schedules and documentation.
• Partner with stakeholders and vendors to review requests, communicate updates, and escalate issues that require leadership attention.• Experience in administrative support, facilities coordination, office operations, or a related support role.
• Strong customer service and communication skills with the ability to work effectively with vendors, clients, and internal stakeholders.
• Proficiency with Microsoft Office tools, including Excel and Outlook, for reporting, scheduling, and correspondence.
• Ability to manage documentation accurately, track multiple requests, and maintain organized records.
• Familiarity with compliance, site procedures, and basic operational reporting in a structured environment.
• Comfortable supporting front desk, mailroom, and event coordination activities as business needs require.
• Strong attention to detail and the ability to balance routine tasks with time-sensitive priorities.
