Job Title: Facilities Services Assistant (Generalist)
Location: Philadelphia, PA
Pay Rate: $22.00/hour
Job Type: Long-Term Contract (Onsite Required)

Position Overview

The Facilities Services Assistant is a hands-on, hybrid role combining reception, office support, and physical facilities setup. This position requires someone who is timely, outgoing, adaptable, and able to think on their feet in a fast-paced office environment.

This is not solely a reception role—candidates must be comfortable with physical setup, troubleshooting, and office maintenance tasks.

Key Responsibilities

Reception & Front Desk

  • Greet, assist, and announce visitors professionally
  • Manage calls and front desk operations
  • Ensure visitors follow security procedures
  • Coordinate visitor seating and hoteling requests

Facilities & Office Support

  • Maintain office cleanliness, organization, and overall presentation
  • Monitor Facilities inbox and respond to requests in a timely manner
  • Provide first-line support for facilities systems, escalating issues as needed
  • Coordinate with vendors for repairs, maintenance, and services
  • Assist with safety walkthroughs and office compliance checks
  • Support records management, including handling sensitive documents

AV & Conference Support

  • Assist with setup and breakdown of conference rooms
  • Support audio/visual equipment and troubleshoot issues
  • Track meeting schedules and room bookings
  • Coordinate catering and special equipment requests

Additional Duties

  • Assist with mail, courier services (USPS, FedEx, UPS)
  • Support printing and office systems (Uniflow, etc.)
  • Participate in special projects and cross-functional support
  • Handle inventory and monitoring systems (e.g., Freespace sensors)

Requirements

  • 2+ years of experience in a professional office environment
  • Strong customer service and interpersonal skills
  • Professional demeanor and communication skills
  • Ability to multitask and adapt in a dynamic environment
  • Experience with AV equipment and conference room technology
  • Basic Microsoft Office (Outlook, Word, etc.)
  • Strong attention to detail and organizational skills
  • Reliable, punctual, and able to manage time effectively

Physical Requirements

  • Must be able to lift at least 25 lbs
  • Comfortable with frequent walking, standing, and physical setup/breakdown of rooms
  • Willing to assist with hands-on office tasks daily

Additional Notes

  • Must be flexible with changing priorities
  • May require occasional work outside standard business hours
  • This is a long-term onsite assignment (no guarantee of permanent conversion)
