Job Title: Facilities Services Assistant (Generalist)
Location: Philadelphia, PA
Pay Rate: $22.00/hour
Job Type: Long-Term Contract (Onsite Required)
Position Overview
The Facilities Services Assistant is a hands-on, hybrid role combining reception, office support, and physical facilities setup. This position requires someone who is timely, outgoing, adaptable, and able to think on their feet in a fast-paced office environment.
This is not solely a reception role—candidates must be comfortable with physical setup, troubleshooting, and office maintenance tasks.

Key Responsibilities
Reception & Front Desk
- Greet, assist, and announce visitors professionally
- Manage calls and front desk operations
- Ensure visitors follow security procedures
- Coordinate visitor seating and hoteling requests
Facilities & Office Support
- Maintain office cleanliness, organization, and overall presentation
- Monitor Facilities inbox and respond to requests in a timely manner
- Provide first-line support for facilities systems, escalating issues as needed
- Coordinate with vendors for repairs, maintenance, and services
- Assist with safety walkthroughs and office compliance checks
- Support records management, including handling sensitive documents
AV & Conference Support
- Assist with setup and breakdown of conference rooms
- Support audio/visual equipment and troubleshoot issues
- Track meeting schedules and room bookings
- Coordinate catering and special equipment requests
Additional Duties
- Assist with mail, courier services (USPS, FedEx, UPS)
- Support printing and office systems (Uniflow, etc.)
- Participate in special projects and cross-functional support
- Handle inventory and monitoring systems (e.g., Freespace sensors)
Requirements
- 2+ years of experience in a professional office environment
- Strong customer service and interpersonal skills
- Professional demeanor and communication skills
- Ability to multitask and adapt in a dynamic environment
- Experience with AV equipment and conference room technology
- Basic Microsoft Office (Outlook, Word, etc.)
- Strong attention to detail and organizational skills
- Reliable, punctual, and able to manage time effectively
Physical Requirements
- Must be able to lift at least 25 lbs
- Comfortable with frequent walking, standing, and physical setup/breakdown of rooms
- Willing to assist with hands-on office tasks daily
Additional Notes
- Must be flexible with changing priorities
- May require occasional work outside standard business hours
- This is a long-term onsite assignment (no guarantee of permanent conversion)
