Status: Full-Time, Exempt
Reports To: Chief Financial & Operating Officer
Start Date: July 1, 2026

Summary:The Director of Facilities fulfills the mission of the school by ensuring safe, efficient, secure, and physically responsible operation of the buildings and grounds of the School.


Essential Responsibilities/Activities:

Caretaking

  • Ensure that the school premises are presented to a high standard at all times.
  • Hire, manage and support facilities staff, along with all third party contractors.
  • Be the principal key holder for the school, attending emergency callouts as necessary.
  • Respond to weather or facility-related emergencies on a 24/7 basis.
  • Engage in day-to-day maintenance tasks as needed, including but not limited to physical work both indoors and outdoors, i.e. lifting and moving heavy objects, sweeping, non-routine cleaning, gardening / forest work, event set-up and clean-up for school and community events.

Maintenance

  • Manage the building and grounds, supervising and accomplishing minor repairs to fixtures, furniture and equipment.
  • Manage the Incident IQ software, ensuring tasks are allocated, communicated and completed in a timely and satisfactory manner.
  • Ensure that accurate documentation is updated and retained in a logical manner for each piece of equipment and system. These records are to include owner and maintenance manuals, names of distributors, installers, and parts suppliers, including contact names and phone numbers. Maintain a detailed log of work performed, parts purchased, with dates and costs and other pertinent data.
  • Communicate with the CFOO about any major maintenance issues or work that requires the use of external contractors.
  • Guide, monitor and support contractors carrying out planned maintenance and other work on campus.
  • All agreements involving an external contractor or contract must be reviewed and signed by the CFOO.

Compliance

  • Ensure compliance with relevant health and safety regulations, making sure health and safety risk assessments and safe working procedures are in place and followed. Facilitate inspections and audits as necessary.
  • Be responsible for all code compliance programs, including but not limited to, asbestos management, lead in water, soils, paints; air quality, hazardous waste reduction, management, and disposal, and other health-related issues.
  • Supervise and be ultimately responsible for the schools security, coordinating with the third-party vendor on scheduling and following up on any security-related issues.
  • Complete weekly safety walk-throughs, utilizing a standardized checklist, to ensure facilities are safe and functioning properly.
  • Ensure all necessary testing is completed, logged, reported and communicated to relevant stakeholders.
  • Manage the fire alarm system, carry out fire alarm system tests as necessary and required.

Health & Safety

  • Deliver health and safety-related training to students, staff and the school community as required and requested.
  • Report any health and safety issues or concerns to the CFOO.
  • Record and report any incidents that occur on site, including witness statements, location, status of equipment or campus area, etc.
  • Serve on the schools Safety Committee and take a leadership role in drills, disaster protocols, documentation, and maintaining necessary equipment and supplies.

Budget, capital planning, project management

  • Develop the annual operating budget for facilities, and work collaboratively with the CFOO to ensure affordability while effectively maintaining the schools buildings and grounds.
  • Participate in capital project planning as requested, make recommendations about future projects, and secure pricing as requested.
  • Assume a project leadership role for a specific initiative if requested by the CFOO or Head of School.


Minimum Requirements:

Bachelors degree and three years experience in maintenance or related field, or equivalent combination of experience and training; physically able to lift materials weighing up to 60 pounds; ability to climb ladders; ability to handle and work proficiently with common hand and power tools; demonstrated proficiency with computers; current Oregon drivers license


Other knowledge, skills and abilities relevant to the position:

  • Leadership skills sufficient to effectively manage custodial staff and influence School policy
  • Organizational skills sufficient to manage workload to accomplish tasks and meet deadlines
  • Financial acumen to understand and plan multi-year campus budget model
  • Ability to work both independently and collaboratively
  • Interpersonal skills to interact with School staff, students, and parents
  • Ability to act as a key member of the Administrative Council
