Job Description
The Commercial Property Administrator will provide administrative and operational support in the management of a commercial property portfolio. The role ensures the smooth day-to-day operation of properties, supports tenant and landlord requirements, and assists the property management team with financial, compliance, and service delivery responsibilities.
Key Responsibilities
Lease & Tenant Administration

Maintain accurate lease records and tenancy schedules.

Prepare, issue, and track tenant correspondence, notices, and lease documentation.

Coordinate lease renewals, rent reviews, and option processes with stakeholders.
Financial Administration
-
Assist with rent collection, arrears monitoring, and reconciliations.

Raise purchase orders, process invoices, and track operating expenses against budget.

Support preparation of monthly and quarterly financial and management reports.
Property Operations

Liaise with contractors and suppliers to coordinate property services and maintenance.

Track service contracts, compliance certificates, and preventative maintenance schedules.

Monitor health & safety obligations and ensure regulatory compliance across the portfolio.
Tenant & Client Relations

Respond to tenant queries in a professional and timely manner.

Support property managers in coordinating tenant move-ins/out and occupancy requirements.

Assist in organizing tenant engagement initiatives, communications, and building updates.
Administration & Reporting

Maintain property files, records, and databases.

Provide administrative support to the Property Manager and wider team.

Prepare documentation, presentations, and standard reporting packs.
Qualifications & Experience

Certificate or Diploma in Property, Real Estate, Business Administration, or similar (preferred).

Previous experience in property management, real estate, or facilities administration (commercial property exposure desirable).

Basic understanding of leases, property legislation, and landlord/tenant obligations.

Proficiency with MS Office Suite (Excel, Word, Outlook); experience with property management software advantageous.
