JOB SUMMARY
The Facilities Manager is responsible for managing, planning, and coordinating activities that affect the operation, repair, maintenance, and construction of all KLC corporate facilities (currently includes one corporate building with both office and warehouse space and two associated parking lots), equipment, and grounds to minimize business interruptions and improve operations efficiency. This role ensures building systems run efficiently, supports a safe work environment, and partners with KLC leadership to plan long-term facility improvements. Ensures the KLC’s compliance with all mandated federal, state, and local regulations. Works with government officials to ensure all OSHA guidelines are met. Manages the daily operation of KLC facilities and oversight of the KLC warehouse, including shipping and receiving. Responsible for managing KLC’s life safety, emergency power, and utilities systems. Serves as one of the KLC Managers responsible for leading the Business Continuity and Disaster Recovery efforts for the entire company. Coordinates with other business unit counterparts to develop, implement, maintain, and regularly exercise all elements of the KLC’s Business Continuity and Disaster Recovery plans.
Candidates holding a Master Electrician license, as well as those with substantial commercial or light industrial electrical experience, will be considered top candidates.
ESSENTIAL DUTIES/RESPONSIBILITIES
- Oversees daily operation of building systems including HVAC, electrical, plumbing, and life safety systems.
- Works with Facilities personnel to ensure that all environmental equipment including all HVAC equipment is functional and well maintained. Maintains all records of equipment that is owned or leased by the KLC and ensures all service intervals and performance levels are met.
- Regularly conducts facility inspections and reviews inspection reports, to determine repairs, replacement, or improvements required. Supports both proactive and reactive maintenance needs.
- Directs contracted projects to ensure adherence to KLC specifications. Prepares construction specifications or plans, obtaining advice from engineering consultants, and makes recommendations to Senior Management for action.
- Oversees external vendors, ensuring all contractors follow safety and compliance requirements.
- Oversees daily operation of KLC warehouse, including shipping and receiving. Ensures accurate shipment processing, compliant inventory management, safe material‑handling practices, OSHA adherence, efficient warehouse organization, proper surplus storage/disposal, and timely distribution of point of sales (POS) materials and internal deliveries.
- Hires, trains, and supervises building service personnel. Assigns workers to duties such as maintenance, repair, or renovation, and may obtain bids for additional work from outside contractors.
- Mentors and develops staff using a supportive and collaborative approach on a consistent basis. Establishes and monitors staff performance and goals, assigns accountabilities, sets objectives, establishes priorities, and conducts annual performance evaluations.
- Plans and administers Facilities departmental budget, tracks expenses, and forecasts maintenance needs.
- Assists with capital planning and long-term facility strategy.
- Develops and implements all necessary policies and procedures for Facilities Department.
- Maintains compliance with all Federal, State, and Local regulations (OSHA, fire code, ADA, etc.).
- Coordinates required inspections (building code, fire systems, elevator, etc.) and maintains accurate documentation, reports, and compliance records.
- Monitors all contracts assigned to the Facilities department regarding compliance, expiration, renewal, and amendments. Participates as either a voting member or subject matter resource in the KLC’s evaluation process for all necessary procurements.
- Coordinates with other business unit counterparts to develop, implement, maintain, and regularly exercise all elements of the KLC’s Business Continuity and Disaster Recovery plans. Develops procedures for use in event of accidents, fires, or other emergencies. Serves as a first responder to any disaster event or incident to perform an on-site evaluation and report back to executive management to aid in the decision-making process.
- Works with the VP, Operations to meet the goals of the KLC. Coordinates the needs of all other departments as they affect the Facilities Department. Works closely with vendors on behalf of other departments to complete facilities remodeling/upgrades and or other company initiatives. Coordinates off-hours work when necessary to minimize business disruption.
KNOWLEDGE/SKILLS/EXPERIENCE
- High school diploma or equivalent. Technical/Trade School courses required.
- Minimum of five years’ experience in all areas of facilities, warehouse, and contract management including environmental controls, electrical, HVAC, and plumbing.
- Must have a working knowledge of commercial heating and air conditioning including low pressure boilers and two pipe loop systems.
- Must have working knowledge of all aspects of facilities management and proven experience with budget and project management.
- Must have strong problem solving, trouble shooting, analytical, organizational, and negotiating skills with the ability to work effectively in a customer service driven environment.
- Must have knowledge and experience of Business Continuity & Disaster Recovery Plans and techniques.
- Must have a full working knowledge of emergency power transfer systems and life-safety requirements for computer room operations. Must be able to respond to and resolve emergency situations in a quick, accurate, and safe manner with individual discretion.
- Must possess a valid driver’s license according to KLC policies.
Preferred:
- Maintenance and technical licenses regulated by the Kentucky Department of Housing, Building, and Construction (electrical, HVAC, plumbing, boiler, or fire systems). Master Electrician license as well as substantial experience in commercial or light industrial electrical highly preferred.
- Knowledge of building automation systems (e.g., Tridium/Niagra).
- Safety & Compliance certifications – OSHA 10-Hour General Industry training, CPR certification, AED certification.
- Universal certificate for refrigerant recovery.
- Experience with cloud-based access control or security systems.
