Regional Property Manager

Position Summary

A leading owner and operator of commercial real estate is seeking an experienced Regional Property Manager to oversee a growing portfolio of mixed-use and retail properties throughout New York City and the surrounding metropolitan area. This role is ideal for a seasoned commercial real estate professional with extensive experience managing complex urban assets, including retail properties located within condominium and cooperative buildings.

The successful candidate will have at least 10 years of commercial property management experience, with a strong background in NYC retail and mixed-use assets. This individual must be a proactive, self-directed leader who thrives in a fast-paced environment, possesses exceptional problem-solving skills, and is well-versed in the operational, regulatory, and tenant-related complexities unique to New York City commercial real estate.

This position is based in Westchester County and requires regular travel throughout New York City and the surrounding tri-state area.

Key Responsibilities

Property Operations & Maintenance

  • Oversee the daily operations of a portfolio of mixed-use, retail, and urban commercial properties, including assets located within condominium and cooperative buildings.
  • Coordinate and manage third-party vendors and contractors for routine, preventative, and emergency maintenance.
  • Perform regular property inspections, including building exteriors, roofs, parking areas, mechanical systems, common areas, occupied tenant spaces, and vacancies, ensuring all properties are maintained to the highest standards.
  • Monitor compliance with all applicable life safety requirements and local, state, and federal regulations, including New York City Local Laws, and oversee the timely resolution of violations.
  • Respond to property emergencies, including after-hours situations as needed.

Tenant & Stakeholder Relations

  • Serve as the primary point of contact for tenants, condominium and cooperative boards, managing agents, residents, and other stakeholders regarding operational and property-related matters.
  • Represent ownership at board meetings and maintain strong working relationships with local business organizations, municipal agencies, and public service entities.
  • Collaborate closely with internal departments, including leasing, legal, construction, tenant coordination, asset management, finance, and risk management.

Financial Management

  • Prepare, administer, and monitor annual operating and capital budgets for assigned properties.
  • Review and approve invoices, monitor expenditures, prepare budget variance analyses, and assist with accruals and financial reporting.

Construction & Capital Projects

  • Oversee tenant fit-outs, landlord work, and capital improvement projects from planning through completion.
  • Review tenant construction plans and coordinate approval processes with condominium/cooperative boards, managing agents, architects, and internal construction teams.
  • Partner with construction professionals and outside consultants to successfully execute capital improvements, common area renovations, and building infrastructure projects.

Qualifications

  • Bachelor's degree required.
  • Minimum of 10 years of commercial property management experience, with significant experience managing NYC retail, mixed-use, and condominium/cooperative properties.
  • Comprehensive understanding of condominium and cooperative governance, board operations, managing agent relationships, financial reporting, and alteration procedures.
  • Strong knowledge of New York City regulatory agencies and compliance requirements, including DOB, FDNY, LPC, and other applicable regulations.
  • Experience managing construction projects, capital improvements, and building system upgrades, including façade, roofing, HVAC, storefront, paving, and mechanical projects.
  • Ability to interpret leases, construction drawings, governing documents, and financial reports.
  • Working knowledge of major building systems, including HVAC, plumbing, electrical, fire protection, and life safety systems.
  • Excellent leadership, communication, organizational, and problem-solving skills, with the ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite and property management software.
  • Valid driver's license and willingness to travel throughout the assigned portfolio.
