- Commercial Property Department Assistant
Based in Los Angeles, CA (some travel to Arizona required)
We are seeking a highly organized and dependable Commercial Property Department Assistant (with a minimum of 3-5 years experience) to support our property management and construction teams. This position is based in California, with occasional travel to Arizona, and requires a motivated individual who can manage multiple priorities, communicate effectively with tenants, vendors, and contractors, and help ensure smooth day-to-day property operations. Must be strong in follow ups and follow throughs. We prefer candidate to have his CA Real Estate license
Responsibilities:
- Monitor and update rent rolls at the beginning and end of each month.
- Contact tenants regarding unpaid rents; draft and deliver notices for non-payment when necessary.
- Assist with vendor and maintenance coordination: track service requests, confirm vendor arrival, and follow up on completed work orders.
- Support construction and renovation projects, including:
- Coordinating with architects, contractors, and city agencies.
- Pushing permits through as needed.
- Attending and documenting site walks (California only).
- Maintain accurate tenant communication records and ensure files are properly updated.
- Perform errands to properties as needed (mileage reimbursed).
- Provide administrative support such as preparing reports, maintaining lease files, and assisting with budgets/expense tracking.
- Collaborate with management to ensure compliance with company policies and state/local regulations.
Requirements:
- Prior experience in property management, commercial real estate, or administrative support preferred.
- Strong organizational and follow-up skills with attention to detail.
- Excellent communication skills (written and verbal).
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Must own a reliable vehicle with insurance (mileage reimbursed for property-related errands).
- Willingness to travel to Arizona once per month (or as needed).
