MULTIFAMILY PROPERTY MANAGER
Indianapolis, Indiana | Full-Time
Position Overview
We are seeking a dedicated, organized, and proactive Property Manager to oversee the daily operations of several historic multifamily apartment buildings on the near northside of Indianapolis. This position is based out of our corporate office at 2425 N. Meridian Street in Indianapolis and requires regular oversight of multiple properties.
The Property Manager will be responsible for property leasing, resident relations, property inspections, lease administration, documentation, and day-to-day operational coordination. Maintenance repairs, rent collections, and accounting are handled by other personnel; however, the Property Manager is expected to communicate with those teams and follow issues through to appropriate resolution.
The ideal candidate is a self-starter with strong marketing and leasing skills, excellent organization and computer skills, sound judgment, and a commitment to professional resident service. This role requires someone who takes ownership, communicates effectively, handles challenging situations calmly, and understands Fair Housing requirements.
Key Responsibilities
Leasing, Marketing & Occupancy
· Manage the leasing process from initial inquiry and marketing through showings, application processing, lease execution, and move-in coordination.
· Develop and implement practical marketing strategies to reduce vacancies and support strong occupancy across assigned properties.
· Follow up consistently with prospective residents and track leasing activity, including leads, showings, applications, and conversions.
· Coordinate lease renewals and communicate with residents regarding upcoming lease expirations to support retention.
· Monitor competing rental properties and local market conditions and share recommendations for improving leasing performance.
Resident Relations & Lease Administration
· Build professional relationships with residents and respond to questions and concerns in a timely, respectful manner.
· Address resident complaints, neighbor disputes, noise concerns, and lease violations consistently and in accordance with company policies and applicable requirements.
· Prepare and deliver lease violation notices, renewal notices, nonrenewal notices, and other resident communications as appropriate.
· Document resident interactions, complaints, incidents, warnings, and follow-up actions accurately and objectively.
· Use sound judgment to de-escalate difficult interactions and promptly escalate safety concerns or sensitive matters to management.
Property Inspections & Building Oversight
· Conduct routine inspections of buildings, common areas, grounds, and vacant units to identify cleanliness, damage, security, safety, and maintenance concerns.
· Monitor the overall appearance and condition of properties and ensure identified issues are documented and reported for appropriate follow-up.
· Verify that vacant apartments are clean, presentable, and ready for leasing.
· Identify potential liability concerns, unauthorized occupants, and property-security issues and report them through established procedures.
Maintenance Coordination & Follow-Through
· Communicate resident maintenance concerns to maintenance personnel and monitor outstanding work orders through completion, without performing repairs directly.
· Coordinate access for contractors, inspections, and scheduled preventative maintenance.
· Communicate service delays and recurring maintenance concerns to the appropriate personnel and follow up with residents when needed.
· Recognize and promptly escalate urgent conditions, including water leaks, fire or life-safety concerns, security issues, and other potentially hazardous conditions.
Compliance, Records & Administration
· Maintain accurate, complete, and organized resident files, including applications, screening documentation, signed leases, addenda, notices, and correspondence.
· Ensure leasing and resident-management practices comply with Fair Housing requirements, applicable federal, Indiana, and local laws, and company policies.
· Handle sensitive resident information confidentially and maintain thorough records of communications and property-related incidents.
· Follow established procedures for reasonable accommodation requests and other sensitive compliance matters, escalating questions when appropriate.
· Maintain accurate data entry in property management software and collaborate with office staff to improve operational efficiency.
Communication & Operational Accountability
· Independently organize daily responsibilities, prioritize competing needs, meet deadlines, and take ownership of assigned properties.
· Provide regular updates to company leadership regarding vacancies, leasing activity, resident concerns, property conditions, and unresolved issues.
· Coordinate with maintenance, collections, and accounting personnel to support consistent and efficient property operations.
· Identify operational problems, recommend practical solutions, and communicate significant issues promptly.
Qualifications
· Previous experience in property management or a related field preferred; multifamily residential experience and oversight of multiple properties are strong advantages.
· Demonstrated marketing and leasing skills, including the ability to follow up with prospects and support occupancy goals.
· Strong knowledge of leasing processes, resident relations, and customer service practices.
· Working knowledge of Fair Housing requirements and applicable landlord-tenant regulations, or the ability to learn and apply them effectively.
· Excellent written and verbal communication skills, including the ability to communicate professionally with people from diverse backgrounds.
· Strong organization, attention to detail, recordkeeping, and time-management skills.
· Ability to handle resident concerns and difficult interactions calmly, professionally, and with sound judgment.
· Ability to work independently, solve problems, and manage competing priorities with minimal supervision.
· Proficiency with office software and data entry; experience with property management software such as AppFolio is a plus.
· Ability to recognize property maintenance and safety concerns and escalate them appropriately.
Performance Expectations
· Maintain consistent leasing activity and work toward established occupancy goals.
· Respond to prospective residents and current residents in a timely and professional manner.
· Keep resident records and property-management data accurate and up to date.
· Ensure resident concerns, lease violations, and operational issues receive appropriate documentation and follow-up.
· Complete regular property inspections and promptly report identified concerns.
· Demonstrate initiative, sound judgment, accountability, and ownership of assigned properties.
Additional Position Details
Job Type: Full-time
Compensation: Competitive / market rate
Work Location: Corporate office at 2425 N. Meridian Street, Indianapolis, Indiana, with regular travel to assigned properties.
A valid driver’s license and reliable transportation may be required if regular travel between properties is part of the role. Any after-hours availability expectations should be clarified during the hiring process.
