Work Arrangement : Onsite

Job Description

The Facilities Specialist II will provide administrative, financial, documentation, and project coordination support for multiple facilities, capital, and operational projects. This role will help maintain accurate project information, track budgets and deliverables, coordinate meetings and communications, and support project teams from initiation through closeout.

Key Responsibilities

  • Maintain project budget trackers, commitments, actual costs, forecasts, accruals, and remaining balances.
  • Support purchase requisitions, purchase orders, invoice processing, payment applications, and financial closeout activities.
  • Coordinate with Finance, Sourcing, Accounts Payable, suppliers, contractors, and project teams to resolve purchasing and invoice issues.
  • Maintain project records, contact lists, calendars, action logs, issue logs, risk logs, procurement records, and project documentation.
  • Track project owners, deadlines, approvals, dependencies, milestones, and follow-up activities.
  • Coordinate project meetings, design reviews, stakeholder sessions, and closeout meetings.
  • Prepare agendas, meeting materials, minutes, decisions, and action-item summaries.
  • Compile weekly and monthly project status reports, dashboards, leadership presentations, milestone updates, risks, and issues.
  • Maintain project scope, schedule, budget, forecast, status, risk, and milestone information in project management systems.
  • Support Procore administration, including project setup, user access, document organization, workflows, and distribution groups.
  • Upload, organize, route, and track drawings, specifications, RFIs, submittals, meeting records, reports, photos, and closeout documents.
  • Track project milestones, deliverables, dependencies, long-lead items, equipment deliveries, and procurement activities.
  • Support project closeout by coordinating documentation such as as-built drawings, O&M manuals, warranties, inspection records, commissioning documents, training records, and turnover packages.

Required Qualifications

  • Associate degree or equivalent combination of education and relevant experience in business administration, finance, construction, facilities, project management, or a related field.
  • Experience providing project, financial, procurement, or administrative coordination support in a multi-project environment.
  • Proficiency with Microsoft Excel, Word, PowerPoint, Outlook, Teams, and SharePoint.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • High attention to detail and commitment to data accuracy and document control.
  • Ability to work effectively with project managers, finance teams, suppliers, contractors, consultants, and other stakeholders.

Must-Have Skills

  • Project coordination or project administration experience.
  • Financial, procurement, or administrative support experience.
  • Experience with purchase orders, invoices, budgets, or cost tracking.
  • Strong Microsoft Office skills, especially Excel.
  • Documentation and document-control experience.
  • Strong organization, communication, and follow-through skills.
  • Ability to manage multiple projects, deadlines, and stakeholders.
  • Ability to work onsite in Minneapolis, MN.
