POSITION SUMMARY:
The Maintenance Supervisor, under the general direction of the Property Manager, is responsible for overseeing the physical assets, general maintenance repairs, apartment make-readies, preventive maintenance, and construction or rehabilitation projects for the apartment community. Direct supervision and direction of all maintenance technicians and grounds/housekeeping personnel and financial accountability within approved budgetary guidelines.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Develops and maintains an effective organization through the selection, training, compensation (review time records), motivation, termination and review of all maintenance personnel.
  • Trains and mentors Maintenance, Housekeeping and Grounds staff.
  • Assist other Hirschfeld locations with training and onboarding as needed/required.
  • Responsible for team’s daily performance, verbal coaching, written warnings, and annual performance reviews.
  • Delegates work orders, move-ins, and instruction to staff in a timely manner and follows through to completion. Provides input to management on staff performance.
  • Apply proper construction and maintenance techniques and ability to use power and hand tools to perform repairs/maintenance/renovation including:
  • Vinyl floor covering
  • Wall molding
  • Caulking
  • Countertops and cabinets
  • Window screens and blinds
  • Interior and exterior doors
  • Electrical circuits, receptacles, breakers, switches, and fuses
  • Light fixtures
  • Appliance (i.e. stoves, refrigerators, washers & dryers, dishwashers, microwaves, and fuses)
  • Toilets, sinks, vanities, disposals, drains, and sewer lines
  • Minor drywall damage
  • Sub-flooring, insulation, wall studs, and floor joists
  • Gutters, downspouts
  • Interior/exterior painting
  • Rodent control
  • Inspection of vendor work
  • Assist in moving appliances in occupied and vacant units
  • Manages and oversees monthly light checks; repair and replace any items
  • Coordinates staff to ensure snow removal is completed in an efficient and timely manner and in accordance with state statutes. Performs plowing with company truck.
  • Review work orders daily to ensure the total ticket count is within scope of team’s performance
  • Coordinates and maintains all contractors for snow removal, capital projects, turnovers, and ay special needs.
  • Preserving the appeal of the building and the safety of the community through general upkeep and cleanliness, snow removal, and grounds maintenance
  • Maintains inventory of equipment and supplies. Issue purchase orders for supplies needed through appropriate vendor.
  • Performs various maintenance work and/or repairs in an efficient and timely manner. Operates and maintains equipment and tools for work performed.
  • Resolves problems and discrepancies with work orders and/or interacts with management to amend the issue. Keeps management informed of all property maintenance issues.
  • Contacts other vendors for problems that exceeded the capacity of the company (carpet cleaning/replacement, painting, tub refinishing, etc.). Reviews work, follows up with contractor and ensures the job is complete.
  • Responsible for communicating with residents for emergency on-call visits within a 30-minute timeframe along with providing on-call sheets with time frame and resident signature.
  • Complete work orders in detail with time of completion, work performed, and supplies used.
  • Maintains maintenance shop/work area in a neat and clean manner. Duties include tracking maintenance keys in an organized manner, updating move-in board for all departments.
  • Inspect property for needed repairs (i.e., landscaping, roofs, lighting, etc.), apartments for move-out and move-in condition. Performs, delegates to staff, or contacts vendors for needed repairs.
  • Assures county inspections are up to date.
  • Complete move-out inspections and provide photos and damages to delegated administrative team member within seven days of the move-out.
  • Responsible for property equipment. Orders new equipment as needed and/or has equipment repaired. Log and track all equipment daily, and makes sure equipment is returned and stored securely every night.
  • Answers customer inquiries regarding maintenance issues as needed.
  • Responsible for Maintenance set of keys and advise staff of key procedures. Makes sure all keys (maintenance and residents) are logged and returned to key board daily.
  • Adheres to all company policies and procedures paying special attention to health and/or safety procedures.
  • Holds monthly OSHA safety meetings with staff in accordance to OSHA regulations. Ensures all staff is trained on and using proper safety equipment.
  • Completes annual OSHA forms and submits to management.
  • Review and approve on-call worksheets prior to submission to the Property Manager.
  • In collaboration with the Assistant Maintenance Supervisor ensure that the maintenance shop is in order, stocked, and cleaned daily.
  • In collaboration with the Assistant Maintenance Supervisor ensure that all supplies are clearly labeled, secured, and handled properly as per OSHA guidelines
  • Completes injury reports and submits to Property Manager.
  • In collaboration with the Assistant Maintenance Supervisor ensure that all supplies are clearly labeled, secured, and handled properly as per OSHA guidelines
  • Completes all monthly reports as directed by Regional Property Manager or on-site Property Manager.
  • Ensures all first aid kits and safety equipment is available and up to date.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • 10+ years of experience as a Maintenance Manager for a residential community
  • 5+ years managing and leading a team of 5-10 technicians
  • An HVAC, EPA, and/or NAPE certification
  • Knowledge of risk management, OSHA, and MSDS
  • Ability to prioritize and make decisions in the best interest of the residents and the Company
  • Advanced level of skill in HVAC, plumbing, carpentry, painting/ drywall, electrical and appliance repair
  • Intermediate computer skills including Microsoft Word, Outlook, and property management software
  • A safety mindset and an eye for detail
  • Excellent communication skills, both written and verbal
  • Availability for emergency situations at the property
  • A sharp professional appearance
  • A valid driver s license and reliable transportation is needed
  • The ability to lift 50 lbs., climb stairs, use ladders, and work in varying weather conditions
