Property Management Coordinator – 50-Unit Residential Portfolio
Location: Miami, Florida
Job Type: Full-time
We are seeking a highly organized and responsive Property Management Coordinator to join our management team and help oversee approximately 50 residential rental units.
This is a hands-on position for someone who communicates professionally, keeps accurate records, and follows every issue through to completion. Tenant calls, lease expirations, maintenance requests, and open tasks cannot be ignored or allowed to fall through the cracks.
Responsibilities
- Respond promptly and professionally to tenant calls, messages, emails, and concerns.
- Prepare, track, and coordinate lease renewals before expiration.
- Maintain organized tenant files, leases, notices, payment records, and property documents.
- Track maintenance requests and coordinate repairs with vendors and the management team.
- Follow up with tenants and vendors until each issue is resolved.
- Monitor rent payments and communicate with tenants regarding outstanding balances.
- Assist with marketing available units, scheduling showings, and processing rental applications.
- Coordinate move-ins, move-outs, inspections, keys, and security-deposit documentation.
- Prepare notices and routine tenant correspondence.
- Maintain an updated calendar of lease expirations, inspections, repairs, and other deadlines.
- Report property issues, tenant concerns, and unresolved matters to management.
- Help ensure properties are clean, properly maintained, and professionally managed.
- Follow Fair Housing requirements and company policies.
Qualifications
- Prior experience in property management, leasing, real estate, hospitality, or office administration is preferred.
- Excellent organizational and follow-up skills.
- Strong written and verbal communication.
- Comfortable handling multiple tenants, properties, and deadlines simultaneously.
- Professional, dependable, and able to handle difficult conversations calmly.
- Basic computer skills, including email, spreadsheets, electronic documents, and property-management systems.
- Valid driver’s license and reliable transportation.
- English required; bilingual English/Spanish is strongly preferred.
