Job Description
We are a company that has been in the swap meet business for over 30 years. Operating four days a week while also responsible for upkeep of adjacent commercial and residential properties. We are seeking a highly motivated candidate to join our small but dynamic property management office.
Office Management
- Oversee daily office operations and ensure the smooth functioning of all office-related activities.
- Greet visitors and ensure a welcoming and professional environment.
- Handle incoming phone calls and voicemails, directing them to the appropriate person or department.
- Assist with service calls.
- Organize and maintain office files (both physical and digital), ensuring they are easily accessible and up to date.
- Organize and maintain both physical documents and digital shared drive, ensuring documents are properly filed, named, and easily retrievable.
Accounting
- Payroll - Paper check & ACH payments
- Invoicing, Accounts payables, Accounts receivable, payments
- Compile and prepare month/quarter/year end financial statements, general ledger analysis, journal entries, and prepare budgets
- Complete and process tax payments (Payroll, State, Federal, Personal)
- Daily bookkeeping, journalizing and reconciliations of statements and reports
- Maintain and manage multiple accounts
- Perform weekly bank deposits
- Coordinate with CPA to complete financials for Tax preparation
Property Management
- Management and collection of tenant rent payments
- Maintain good standing relationships with all tenants
- Process and Deposit to their respective accounts and properly enter into accounting software/spreadsheet
- Contract residential and commercial leases, rent collection, draft tenant notices, and billings.
- Maintain and contact tenants for necessary repairs/inspections
- Report any repairs needed and coordinate with contractors
- Collaborate with new project planning, designing, and construction with engineers and contractors for new development.
- Coordinate with City and County Departments to ensure properties are regulated and up to code
- Submit all plan checks, requests, and necessary documents to City and County departments
Human Resources
- Insurance – Review of all policies, Renewal applications, projections
- Manage timely and accurate preparation of bi-weekly payroll, including tax withholdings, deductions, and garnishments
- Employment verifications, office management, hiring/interview, disciplinary actions.
- Online and in person meetings and conduct interviews
Additional Duties
- Must be able to physically lift at least 40lbs (example: cases of drinks for work site, open/close gates around the properties, online order supplies)
- Light weekly janitorial duties, including sweeping work areas and trash removal.
Knowledge, Skills, and Abilities
- Must be bilingual in Spanish and English
- Strong attention to detail and a proactive, solutions-oriented mindset.
- Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously
- Strong computer skills, with proficiency in Microsoft Office Suite
- Ability to recognize inefficiencies and take initiative to implement improvements independently.
- Strong communication skills, both written and verbal, with a professional demeanor.
- Self-starter with the ability to work independently
- Understanding of accounting principles, bookkeeping, account reconciliations, with the ability to handle data entry for accounts payable/receivable, rent collection, and production of financials
Education and Experience:
- Bachelor’s degree Preferred (Accounting/Finance or similar)
- Experience in accounting (minimum 1 year accounting experience preferred)
