Job DescriptionJob Title: Property Manager – Senior Living Facility
Reports To: Owner
Position Type: Full-Time, On-SiteJob Summary:We are seeking a compassionate, organized, and experienced Property Manager to oversee the day-to-day operations of our senior living facility. This role is responsible for ensuring the community is safe, well-maintained, financially sound, and compliant with housing regulations while promoting a respectful, service-oriented environment for our senior residents.
Key Responsibilities:Facility Operations & Maintenance:
- Oversee maintenance, housekeeping, and groundskeeping to ensure cleanliness, safety, and accessibility. Supervise on-site personnel like landscapers and cleaning crews, and handle emergencies when necessary.
- Responsible for work orders being done in a timely manner, apartment vacancies and turns are done efficiently and any plumbing, maintenance, roofing, and building problems are taken care of by vendors when necessary.
- Responsible for making sure all preventative maintenance is done and kept up in a timely manner.
- Schedule and manage repairs, inspections, and capital improvements.
- Ensure compliance with all local, state, and federal safety and housing regulations.
- Manage vendor relationships and oversee service contracts.
Resident Relations:
- Serve as the primary point of contact for residents and their families regarding housing-related concerns.
- Foster a welcoming, respectful, and supportive atmosphere for seniors.
- Address resident inquiries, complaints, and concerns promptly and effectively, with empathy and professionalism.
- Coordinate with service staff to support residents' needs (e.g., accessibility, reasonable accommodations).
Leasing & Occupancy:
- Manage leasing activities including advertising, showing units, screening applicants, and preparing lease agreements. This includes following up with prospective renters, cold calls, advertising, tours for prospective renters and/or their families, and being the contact person for Palacio for inquiry phone calls and walk-ins.
- Maintain target occupancy levels and minimize vacancy rates. Explore different marketing options and alternatives.
- Ensure compliance with fair housing laws, senior housing regulations (e.g., HUD if applicable), and lease terms.
Financial Management:
- Prepare and manage annual property budget, including rent collection, expense tracking, and financial reporting.
- Approve invoices and oversee property-related expenses. Deals with all vendors and handles all accounts payables.
- Monitor utility usage and implement cost-saving initiatives where appropriate.
Team Management:
- Supervise on-site staff including maintenance, janitorial, office and leasing personnel.
- Provide leadership, training, and performance feedback to staff.
- Create a positive, collaborative workplace culture focused on service and compliance.
- The manager is responsible for all human resources functions - interviewing, hiring, firing, warnings, payroll with relevant reporting and any training necessary.
Qualifications:
- Education: Bachelor’s degree in Property Management, Business Administration, or related field preferred.
- Experience: Minimum 3–5 years of experience in property management; experience in senior housing or assisted living strongly preferred.
- Licenses/Certifications: Certified Property Manager (CPM), Accredited Residential Manager (ARM), or equivalent credentials a plus.
Key Competencies:
- Strong interpersonal and communication skills.
- Compassion and sensitivity to the needs of elderly residents.
- Knowledge of fair housing laws and senior housing regulations.
- Ability to manage budgets, property operations, and vendor contracts.
- Problem-solving and conflict resolution abilities.
- Proficient in property management software (e.g., Yardi, AppFolio, etc.). Working knowledge of Rent Manager, ADP - payroll and personnel
Work Environment:
- On-site role at a residential facility.
- Must be available for emergency calls outside of regular business hours.
- May require occasional lifting or mobility assistance tasks. Assist with setup and breakdown of rooms or equipment for events or meetings, when needed.
