Woodmont Properties is seeking an experienced, professional and highly motivated Commercial Property Lease Administrator with 5+ years of experience in the commercial or residential real estate industry. This Administrator is responsible for property and office administrative assistance to our tenants, team and managing partners. This position requires property administration of our 30 portfolio properties within the Washington, DC Metro area. Candidates interested will join a fast-growing, 40 year old real estate company and see it's the smaller intangible things that can make working with us so satisfying.
We require a self-motivated, goal oriented administrator who has the ability to multi-task, communicate professionally, efficiently and reliably, and possess strong organizational skills
SUMMARY
Expertise in Google Workspace, Word, Excel, Yardi/AppFolio.
Provide administrative support to include, but not limited to accounts payable, accounts receivable, contracted services and lease administration.
Essential Responsibilities and Functions:
- Processing and coding of all accounts payable invoices per established schedules.
- Ensure invoices are paid on time and review all past due invoices to ensure proper payment has been made. Research and request appropriate back-up from vendors if necessary.
- Send out rent statements to tenants in sufficient time according to accounting calendar.
- Collecting rent and ensuring accounts receivable balances are minimized.
- Providing lease administration services to include but not limited to lease abstraction and lease file maintenance.
- Organize, maintain and manage lease and tenant documents in electronic and paper filing systems, including correspondence, certificates of insurance, vendor contracts, court suits and delinquency documents.
- Track and maintain Certificates of Insurance; responsible for notifying tenants and vendors of expired COI's and COI requirements via letters.
- Maintain spreadsheet of COI's on file that detail the insured and the policy expiration.
- Generating contracts for services at the properties along with maintaining all record-keeping systems.
- Completing assigned financial reporting tasks in support of tenant and partner requirements.
- With the guidance of office systems and protocol, the candidate will coordinate, assemble and respond to highly confidential and time sensitive matters as appropriate.
- Manage calendars, schedules, and organize complex file review processes.
- Prepare Spreadsheets and Documents to share with Team members as appropriate.
- Assisting in Move-In/Move-Out processes and procedures.
- Independently manage the collection and organization of payments, financial documents and relevant correspondence in support of Woodmont Properties' business interactions.
- Posting payables, receivables, invoicing, liaise with our internal accounting personnel, and assure that invoices are submitted in accordance to our policies for timeliness and accuracy.
- Generate reports relating to same in cloud platforms.
- Maintaining current and cultivating prospective tenant relationships.
- Handle any tenant issues regarding maintenance or service requests quickly, passing along urgent matter to Property Manager, when appropriate.
- Other duties as assigned by the General Manager falling within the reasonable expectations of an administrative position at a commercial real estate services office.
Qualifications:
* Bachelor's degree is preferred
* Minimum of Five years in Commercial Property Administration and Office Administrative support experience required, including AP/AR experience and familiarity with financial statements. Property management administrative support preferred.
* Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
Requirements:
* Applicable Property administration experience, preferably in a commercial firm.
* Expertise in Word, Excel, Yardi or AppFolio.
* Produce a daily completion workload and billing report.
* Full knowledge of selected commercial property procedures, terminology and standards.
* Ability to handle a high volume of work with minimal supervision while exercising the judgment to appropriately discern when to escalate issues.
* Ability to lead independently and exercise good judgment in potentially difficult situations.
* Excellent communication skills, both oral and written, including the ability to professionally communicate with a wide variety of individuals, respond to inquiries, and provide feedback in a timely manner.
* High level of professionalism, attention to detail, and ability to maintain absolute confidentiality.
* Generally tech savvy and able to learn new skills necessary to keep pace with an ever-changing landscape.
