We are excited to invite a seasoned licensed Community Association Manager to join our team.
This CAM position is responsible for the professional management and day-to-day administration of an assigned portfolio of community associations and serves as the primary point of contact for Boards of Directors, homeowners, vendors, and other stakeholders. This position requires an experienced individual well versed in managing multiple priorities to ensure that assigned associations are managed in accordance with applicable Florida law, governing documents, Board policies, and our procedures.
Responsibilities:
1. Board & Association Management
- Serve as the primary management contact for assigned associations; build strong, professional relationships with Boards, committees, and residents.
- Prepare for and lead Board, membership, and committee meetings, including agendas, reports, meeting materials, and follow-up on action items.
- Advise Boards on operations, governing documents, policies, compliance, and community priorities.
2. Community Operations
- Oversee day-to-day community operations, property inspections, maintenance, amenities, common areas, and operational issues.
- Coordinate vendors, contractors, maintenance teams, and internal staff to ensure timely, quality completion of work.
- Identify operational needs, prioritize issues, and coordinate projects through completion.
3. Financial Management & Planning
- Partner with accounting teams and Boards on annual budgets, financial reporting, assessments, delinquencies, and special assessments.
- Monitor budgets, expenses, invoices, and variances; provide Boards with financial updates and recommendations.
- Support reserve planning, capital projects, loans, and long-term financial and maintenance planning.
4. Vendor & Project Management
- Solicit and evaluate vendor/contractor proposals and assist Boards with purchasing and contracting decisions.
- Manage vendor performance, scheduling, contracts, insurance documentation, and service issues.
- Oversee maintenance and capital projects, monitoring scope, schedules, budgets, and completion.
5. Compliance & Risk Management
- Support Boards with enforcement of governing documents, policies, violations, hearings, and homeowner disputes.
- Maintain familiarity with Florida community association requirements and ensure appropriate documentation and follow-up.
- Identify operational, property, and insurance risks and communicate concerns to Boards and OIMG management.
6. Owner & Resident Relations
- Respond promptly and professionally to homeowner and resident questions, concerns, and complaints.
- Investigate issues, coordinate appropriate resolutions, and escalate matters requiring Board or management involvement.
- Maintain positive, service-oriented community relationships while appropriately representing Board decisions and authority.
7. Records & Documentation
- Maintain accurate, organized association records, including meeting materials, contracts, proposals, correspondence, inspections, and project documentation.
- Ensure required documents are properly maintained and accessible in accordance with OIMG procedures.
- Assist with records requests, association transitions, and onboarding of new communities.
8. Leadership & Teamwork
- Collaborate with OIMG accounting, administrative, maintenance, and management teams to deliver consistent service.
- Provide clear direction and information to internal team members supporting assigned communities.
- Participate in company meetings, training, process improvements, and special projects.
Qualifications
- Active Florida Community Association Manager (CAM) license required.
- Significant experience managing condominium, HOA, or other community associations, including direct Board experience.
- Strong knowledge of Florida community association operations, governing documents, budgets, assessments, contracts, vendors, maintenance, and capital projects.
- Excellent communication, organization, problem-solving, and time-management skills; able to independently manage multiple communities and competing priorities.
- Proficiency with Microsoft Office; Vantaca experience preferred.
- Professional, confident demeanor with the ability to effectively handle challenging homeowner, Board, vendor, and operational situations.
Salary: $55,000 - $75,000 depending on experience
Location: Vero Beach, In-office 5-days week.
