The Maintenance Supervisor is responsible for leading and overseeing all maintenance operations for a 200+ unit Apartment Community. This position ensures the property, apartments, common areas, amenities, grounds, and mechanical systems are maintained to company standards while providing timely and professional service to residents.


The Maintenance Supervisor is responsible for directing the maintenance team, managing daily work orders, completing preventative maintenance, coordinating vendors and contractors, maintaining inventory, responding to emergencies, and ensuring the property remains safe, clean, functional, and well maintained.


The successful candidate will be a hands-on leader who can effectively prioritize a high volume of maintenance needs, hold the team accountable, communicate clearly with management and residents, and take ownership of issues from identification through completion.


Key Responsibilities

Maintenance Team Leadership

  • Supervise, train, coach, and provide daily direction to the maintenance team.
  • Assign work orders and daily tasks based on urgency and property priorities.
  • Establish clear expectations for attendance, productivity, quality of work, communication, and professionalism.
  • Monitor team performance and ensure assigned work is completed accurately and timely.
  • Hold employees accountable for following company policies and procedures.
  • Assist the Property Manager with employee evaluations, coaching, disciplinary actions, and performance improvement plans.
  • Ensure adequate staffing and coverage for daily operations and emergencies.
  • Lead by example through professionalism, reliability, and a strong work ethic.

Work Order Management

  • Oversee a high volume of resident and property work orders.
  • Prioritize emergency, urgent, and routine maintenance requests appropriately.
  • Ensure work orders are acknowledged, scheduled, completed, and properly documented.
  • Review outstanding work orders daily and follow up on delayed or incomplete items.
  • Inspect completed work to ensure quality and resident satisfaction.
  • Identify recurring maintenance issues and recommend long-term solutions.
  • Communicate delays or issues to the Property Manager promptly.

Apartment Maintenance & Turnovers

  • Perform and oversee repairs in occupied and vacant apartments.
  • Diagnose and repair plumbing, electrical, HVAC, appliances, carpentry, drywall, painting, and general maintenance issues.
  • Conduct move-out inspections and identify maintenance and capital needs.
  • Coordinate apartment turns and ensure units are completed according to established deadlines and company standards.
  • Inspect completed turns before releasing apartments for move-in.
  • Ensure vacant apartments are clean, safe, functional, and ready for new residents.

Preventative Maintenance

  • Establish and maintain a comprehensive preventative maintenance program.
  • Complete scheduled inspections and maintenance of building systems and equipment.
  • Monitor HVAC, plumbing, electrical, life-safety systems, appliances, pools, roofs, common areas, and other property assets.
  • Identify potential problems before they become emergency repairs or significant expenses.
  • Maintain accurate records of preventative maintenance activities.
  • Ensure seasonal maintenance is completed timely.

Vendor & Contractor Management

  • Schedule and coordinate outside vendors and contractors.
  • Meet vendors onsite and oversee work being performed.
  • Verify that completed work meets the approved scope and company standards.
  • Review vendor invoices for accuracy before submitting them to management.
  • Maintain professional relationships with reliable vendors.
  • Obtain estimates and assist with project planning and capital improvements.
  • Communicate vendor schedules and resident access requirements to the Property Manager.

Inventory & Budget Control

  • Maintain appropriate levels of parts, supplies, tools, and equipment.
  • Monitor inventory and identify items that need to be reordered.
  • Prevent unnecessary purchases and control maintenance expenses.
  • Follow established purchasing and approval procedures.
  • Maintain organized maintenance storage areas.
  • Assist the Property Manager with maintenance budgeting and capital expenditure planning.

Safety & Compliance

  • Maintain a safe environment for residents, employees, vendors, and contractors.
  • Conduct regular property and maintenance safety inspections.
  • Ensure maintenance staff follow all applicable safety procedures.
  • Properly use and maintain tools, equipment, and personal protective equipment.
  • Report accidents, property damage, unsafe conditions, and emergencies immediately.
  • Ensure required inspections, certifications, and service schedules are maintained.
  • Assist with emergency preparedness and response.

Resident Relations

  • Provide professional and courteous service to residents.
  • Respond promptly to resident maintenance concerns.
  • Communicate clearly regarding repair schedules, access, delays, and completion.
  • Maintain clean and professional work areas inside residents' homes.
  • Address resident concerns appropriately and escalate issues to management when necessary.
  • Work with the Property Manager to identify opportunities to improve the resident experience.


Qualifications

  • Experience: Minimum of 5-7 years of multi-family property management experience, with at least 2 years specifically managing 200+ units.
  • Certifications: HVAC Certified (Required), CPO Certified (Required)
  • Technical Skills: Proficiency in property management software (e.g., Yardi, AppFolio, Entrata, RealPage) and Microsoft Office Suite.
  • Soft Skills: Exceptional communication, conflict resolution, and strategic thinking abilities.
